VOLUNTEER DUTIES

Children's Area:

Tasks:

Organize and supervise activities for the children

Hours:

1:00 pm - 5:00 pm Saturday & Sunday

Volunteers:

This area is best organized if it is staffed by a team of people who take on this responsibility for the weekend. For the past two years, it has been organized and run by a couple of Guide Leaders and their group of Pathfinders.

Description:

  1. Organize 4 to 5 structured simple craft activities or games that last 30 to 45 minutes each.

  2. These activities and or games should hold the interest or allow participation of an age range of 4 to 12 years.

  3. They should have scheduled times for each activity and be planned far enough a head that they can be listed in the festival program.

  4. The activities should take place in between the performances that take place at the near by children's stage.

  5. Safety of the children must be observed throughout all the activities.

Parents should be encouraged to participate with their children. However if they choose "observe" this is fine but they cannot "drop their children off". This is not meant to be a babysitting service.

Craft Booths/Vendors Liaison:

Tasks:

Organize selection and placement of craft and food booths. Supervise booth placement and construction (if needed). Act as liaison between the vendors and the Festival.

Hours:

12:00 pm - 12:00 am daily.

Volunteers:

Minimum Needed=4
1 per shift

Description:

Craft and Food vendors are an important part of the Eaglewood Folk Festival both for the unique social environment they create and the revenue they generate. Seeing that their needs and the needs of the Festival are met in an agreeable fashion is vital to maintaining the Festival image and attracting vendors to the Festival.One volunteer will be assigned to help with any set-up and display needs the vendors have as well as any ongoing needs they might have during the Festival. This would include access to electricity, fresh water, lighting and security.

First Aid:

Task:

Provide first aid assistance if needed. Have a visual presence at the Festival. Ensure that all Volunteers, and Staff are aware of who and where First Aid can be administered, so they can direct anyone who may need help to your location, or direct you to where help is needed.

Hours:

24 hours daily throughout the Festival.

Volunteers:

Minimum Needed=2
1 - 2 volunteers with emergency first aid training.

Description:

For health and safety reasons, it is important that we have a qualified individual to be on call throughout the course of the Festival. A current certificate in Emergency First Aid or acknowledged medical training is required.

Hospitality/Kitchen:

Task:

Provide food for the Performers, and volunteers.

Hours:

2:00 pm - 8:00 pm Friday.
9:00 am - 7:00 pm Saturday & Sunday
9:00 am - 1:00 pm Monday

Volunteers:

Minimum Needed = One Co-ordinator, 10 - 12 volunteers doing 12 hours

Description:

This Job requires some advance planning of menus and shopping and works well if some or parts of the meals are prepared off site.

Friday Afternoon Team: 2 - 3 people, 1 - 4 pm

  1. Stock food and organize kitchen and set up tables and chairs in dinning room for weekend.

  2. Prepare trays of snack/finger food for backstage for evening concert.

  3. Make salad or veggie tray for evening meal.

Friday Dinner Team: 4-5 people, 4 - 8 pm

  1. Serve evening meal, most of which has been prepared off site.

  2. One person acts as a host at the door, giving direction and taking meal tickets.

  3. Take trays of snack/finger food to back stage for performers.

  4. Cleans and organizes kitchen and dining area for Saturday Brunch.

Saturday Brunch Team: 4-5 people, 9 am - 2 pm

  1. Make coffee, tea, juice, and make sure tables and chairs are ready for the brunch meal.

  2. Prepare meal to be served, most of which will consist of setting cereal, toast, prepared foods and out on tables.

  3. One person acts as a host at the door, giving direction and taking meal tickets.

  4. Cleans and organizes kitchen and dining area for Saturday Dinner.

Saturday Dinner Team: 4-5 people, 3:30 - 7:30 pm

  1. Make coffee, tea, juice, and make sure tables and chairs are ready for the dinner meal.

  2. Prepare meal to be served, and prepare a tray of snack/finger food for backstage for evening concert.

  3. One person acts as a host at the door, giving direction and taking meal tickets.

  4. Cleans and organizes kitchen and dining area for Sunday Brunch.

Sunday Brunch Team: 4-5 people, 9 am - 2 pm

  1. Make coffee, tea, juice, and make sure tables and chairs are ready for the brunch meal.

  2. Prepare meal to be served, most of which will consist of setting cereal, toast, prepared foods and out on tables.

  3. One person acts as a host at the door, giving direction and taking meal tickets.

  4. Cleans and organizes kitchen and dining area for Sunday Dinner.

Sunday Dinner Team: 4-5 people, 3:30 - 7:30 pm

  1. Make coffee, tea, juice, and make sure tables and chairs are ready for the dinner meal.

  2. Prepare meal to be served, some of which has been prepared off site.

  3. Prepare a tray of snack/finger food for backstage for evening concert.

  4. One person acts as a host at the door, giving direction and taking meal tickets.

  5. Cleans and organizes kitchen and dining area for Sunday Brunch.

Monday Clean up Team: 4 - 5 people, 9 am - 1 pm

  1. Clean up kitchen and dinning area and return to original state.

  2. Put out left over food for Volunteers left doing grounds clean-up

  3. Disperse left over food, pack equipment away for next year.

Info Booth/Emporium:

Task:

Sell Programs, CD's, T-Shirts and provide festival information.

Hours:

5:00 pm - 11:00 pm Friday
11:30 am - 11:00 pm Saturday and Sunday
9:00 - 11:00 am Monday (take inventory and put stock in storage)

Volunteers:

Minimum Needed: One Co-ordinator - 5 - 6 volunteers doing 12 hours

Description:

  1. Provide information on the Festival, directions to areas of the Festival grounds, performance times and places.

  2. Sell and track the sales of Festival memorabilia, i.e. Festival programs, T-Shirts, pins, etc.

  3. Receive; take inventory, sell performer's products, such as CD's and any other products that meet the requirements for sale during the Festival.

Security:

Task:

Grounds Security, front gate personnel

Hours:

Noon Friday - noon Monday for grounds security.
11:00 am - 12:00 am daily for other.

Volunteers:

Minimum Needed=20
Grounds security: 2 volunteers on duty at all times.
Front gate security: 1 volunteer per shift

Description:

Be on hand to provide security and control throughout the Festival. Able to deal effectively with people in a high stress situation. Good knowledge of local emergency services.

Task:

Sit in the back of the truck where all the instruments are stored.

Hours:

Friday - 5:30 - 11:30 pm
Saturday - 11:30 am - 11:30 pm
Sunday - 11:30 am - 11:30 pm

Volunteers:

Minimum needed - One Co-ordinator - 5 volunteers doing 12 hours

Description:

Receive, store and secure performers' instruments. Return to performers as needed.

Site Construction:

Task:

Set up and dismantle House Stage, Hugh Carson Stage, and Darrel Murphy Stage.

Hours:

1:00 - 6:00 pm Thursday
10:00 am - 5 pm Friday
9:00 am - 3pm Monday.

Volunteers:

Minimum Needed: One Co-ordinator - 10 - 15 volunteers doing 12 hours

Description:

  1. Erect 3 stages.

  2. Help set up and organize vendor booths.

  3. Assemble "Canopy Tents".

  4. Set up Emporium area prior to the Festival.

  5. Act as troubleshooters during festival.

  6. Disassemble and put all equipment back in storage at the end of the festival.

Sound / Stage / Lighting (All Stages):

Task:

Sound and lighting for the House Stage - sound for the Hugh Carson Stage & Children's Area - stage hands for all

Hours:

11:00 am - 6:00 pm for workshop stages.
11:00 am - 11:00 pm for the House Stage.

Volunteers:

Minimum Needed=16
1 stage crew for each workshop stage and 2 - 3 stage crew for the House Stage per shift.

Description:

Sound and lighting is contracted out to a private company and they usually bring ample sound techs to handle the workshop stages and fill in during the evening performances. Volunteers are assigned to this task only when needed.

Stage Manager (House Stage):

Task:

Stage Manager for House Stage.

Hours:

6: 00 pm - 11:00 pm Friday.
5:30 pm - 11:00 pm Saturday and Sunday

Volunteers:

Minimum Needed=2 per day

Description:

See to the needs of performers and stage technicians during the evening performances. Gather all relevant info as to the performer's stage set-up and deliver this information to the stage crew and sound technician. Monitor the times of each performance and notify performers of when their time is up.

Ticket Sales / Front Gate:

Task:

Meet, greet, check ticket holders, and sell day passes.

Hours:

12:00 pm 9:00 pm Friday.
9:00 am - 9:00 pm Saturday
11:00 am - 9:00 pm Sunday

Volunteers:

Minimum Needed: One Co-ordinator - 6 - 8 volunteers doing 12 hours

Description:

  1. Check incoming ticket holders to confirm passes and wristbands.

  2. Put colour-coded wristband on each person.

  3. Direct campers to the Volunteer who takes money for camping and directs them to appropriate campsites.

  4. Direct vendors to contact personnel and delivery vehicles to appropriate locations throughout the site.

  5. Sell day/weekend passes.

  6. Distribute performer packages to incoming performers.

  7. Direct incoming volunteers to appropriate coordinator.

  8. Direct vehicles to parking personnel.

  9. Keep accurate count of money and tickets.

Transportation - External:

Task:

Pick up and deliver supplies during the Festival.
Pick up and deliver festival patrons arriving by GO Transit bus

Hours:

This would be an "on call" position throughout the Festival

Volunteers:

Minimum Needed=2 per day

Description:

Persons with a vehicle needed to periodically run errands into town and/or retrieve patrons from Sutton who have arrived via GO Transit bus.

Transportation - Internal:

Task:

Transport artists and equipment to and from various stages on site

Hours:

11:00 am - 7:00 pm Saturday and Sunday

Volunteers:

Minimum Needed=3 per day

Description:

Mature, capable person to drive golf cart with passengers and equipment between stages during workshop performance hours

Runners/Fillers:

Task:

Run errands (make change, deliver messages, etc.) between site locations. Fill in volunteer positions where scheduled volunteers failed to show up for assigned shifts.

Hours:

3:00 pm 9:00 pm Friday.
11:00 am - 9:00 pm Saturday and Sunday

Volunteers:

Minimum Needed=12

Description:

Runners are needed for the most high traffic areas of the Festival and for the workshop stages to relay information, make change, etc. where the minimum working staff can't be spared. They must also be available to fill in at any spot where scheduled volunteers failed to show up for their assigned shift or must be relieved for an emergency.
